Getting Started & Onboarding

Welcome to Cooledge! This guide will walk you through setting up your account and getting started with our air conditioning quoting and leads platform.

1. Creating Your Account

Sign Up Process

  1. Visit the signup page: Go to app.cooledge.com.au/signup
  2. Enter your email and password: Choose a strong password for your account
  3. Submit the form: Your account will be created immediately

Note: You'll be automatically signed in after creating your account and redirected to the onboarding flow.

What Happens Next

After signing up, you'll be guided through a 3-step onboarding process:

  • Step 1: Profile setup
  • Step 2: Business information
  • Step 3: Trial subscription completed

2. Profile Setup

In the first step, you'll provide your personal information:

Required Information

  • First Name & Last Name
  • Phone Number: Your contact number for business communications

Tips for Profile Setup

  • Use your real name as it will appear on quotes and customer communications
  • Provide a valid phone number - customers may contact you directly
  • This information can be updated later in Settings

3. Business Information

The second step involves setting up your business details:

Business Details Required

  • Business Name: Your company name (will appear on quotes)
  • Business Address: Your business location (will appear on quotes and used for lead matching)
  • Website (Optional): Your business website (leave blank if you dont have one)
  • Business Logo: Upload your company logo ((Optional, you can always upload later in settings))

Address Setup

  • Use Google autocomplete for accurate address entry
  • The address appears on customer quotes and communications

Logo Upload

  • Recommended format: PNG or JPG
  • Optimal size: 500×200px (landscape orientation)
  • Maximum file size: 5MB
  • Can skip for now: You can upload a logo later in Settings

What Happens Behind the Scenes

When you complete business setup:

  • You're assigned as the business owner
  • A 14-day trial subscription begins
  • Quote limits and features are activated

4. Register for Trial Subscription

5. First Steps After Onboarding

Once your account is set up, here's what to do next:

Explore Your Dashboard

  • Quotes: View and manage your quotes
  • Leads: Access the leads marketplace (if enabled)
  • Catalogue: Manage your product pricing
  • Settings: Configure your account preferences

Create Your First Quote

  1. iOS App: Download the Cooledge app from the App Store
  2. System Types: Choose from Split, Ducted, Multi, VRV, or Install Only
  3. Customer Details: Enter customer information
  4. Select Products: Choose units and configure installation options
  5. Generate Quote: Create PDF and online quote link

Activate Leads (Optional)

  • Go to Settings > Leads to activate the marketplace
  • Accept terms and conditions
  • Choose payment method (invoice or automatic)
  • Start receiving qualified leads in your area

6. Mobile App Setup

Download the iOS App

  1. Search "Cooledge" in the App Store
  2. Download and install the app
  3. Sign in with your account credentials

App Features

  • Photo Management: Take and organize site photos with unit overlays
  • Quote Generation: Full quoting capabilities on mobile
  • Quote Management: Access previous quotes from that device

Face ID Setup (Optional)

  • Enable Face ID authentication on each app open
  • Your credentials are securely stored in the device keychain
  • Biometric authentication keeps your data more secure

7. Getting Help

Available Support Channels

  • Email Support: support@cooledge.com.au
  • Help Documentation: Browse articles in the help center →
  • In-App Help: Look for the "?" button in the top right of your dashboard

Common Next Steps

Troubleshooting Common Setup Issues

Can't Complete Business Setup

  • Issue: Address not found
  • Solution: Type your address manually, ensure correct spelling
  • Alternative: Contact support for assistance

Payment Issues During Onboarding

  • Issue: Credit card declined
  • Solution: Check card details, ensure sufficient funds, try a different card
  • Note: You can complete onboarding and add payment details later

Trial Not Activated

  • Issue: No trial quotes available
  • Solution: Check if onboarding was completed fully, contact support if needed
