Understand the todo cards on your dashboard and what action to take for each one
Dashboard Action Items
What are Action Items?
Your dashboard shows action item cards (todos) that highlight jobs and quotes needing your attention. Each card shows a count and a short description. Clicking a card takes you directly to a filtered list of the items that need action.
Think of them as your daily checklist — they surface the things that might otherwise slip through the cracks.
All Action Items
Overdue Invoices
What it means: Invoices that were sent more than 7 days ago and haven't been paid.
What to do: Follow up with the customer. Resend the invoice, call to check on payment, or send a reminder message.

Jobs Need Invoicing
What it means: Jobs marked as completed but with no invoice sent yet.
What to do: Open each job and create an invoice. Use "Complete & Invoice Now" when finishing visits to avoid this building up.

Awaiting Payment
What it means: Quotes that have been accepted by the customer but the deposit hasn't been paid yet.
What to do: Follow up with the customer about payment, or resend the quote payment link.

Paid Quotes to Convert
What it means: Quotes where the customer has accepted and paid, but the quote hasn't been linked to a job yet.
What to do: Open the quote and use the "Create / Link Job" button to either create a new job or link it to an existing one. This gets the work into your job pipeline.

Quote Visits Need Quotes
What it means: Past quote visits (Quote Visit jobs with completed bookings) where no quote has been created yet.
What to do: Create and send the quote. The customer is waiting. Open the job and use "Create New Quote" from the More Actions menu.

Unconverted Leads
What it means: Leads you've claimed from the marketplace but haven't converted to quotes or jobs yet.
What to do: Contact the lead and either create a quote or mark the lead as not progressing.
Where it links: Filtered leads list showing claimed but unconverted leads.
Jobs With Unsent Quotes
What it means: Jobs that have draft quotes created but not yet sent to the customer. The quote was created from a job (tracked automatically) but is still sitting in draft status.
What to do: Open the quote, review it, and send it to the customer. Draft quotes left too long mean the customer is waiting.

Expired Quotes Need Follow-up
What it means: Jobs where all linked quotes have expired (passed their validity date) without being accepted. The customer hasn't responded and the quotes are no longer valid.
What to do: Follow up with the customer. Call to discuss, resend with updated pricing, or close the job if they've gone elsewhere. The job has been taken off hold and is back in your active list.

How Counts Update
Action item counts update in real-time based on your data. When you take action (send an invoice, create a quote, convert a lead), the count drops automatically. No need to refresh.
Using Action Items Effectively
Check daily. Make it a habit to glance at your dashboard first thing in the morning. The action items tell you exactly what needs doing today.
Work through them in order. The items are roughly prioritised — overdue invoices and jobs needing invoicing are typically the most time-sensitive.
Don't let them build up. A clean dashboard with zero action items means nothing is falling through the cracks. If you consistently see the same type piling up, it might signal a process issue worth addressing.
