What is the Schedule Tab?

The Schedule tab in the Cooledge mobile app shows all your team's bookings. You can see what work is scheduled, who's assigned, and when jobs are happening - all from your phone.

Where to find it: Tap "Schedule" in the bottom navigation bar

Two Ways to View Your Schedule

The mobile app has two view modes:

List View

Shows bookings as a scrollable list grouped by date, like a to-do list with today at the top. It's best for quickly scanning what's coming up and seeing a week's worth of bookings at once. You can check booking details easily and pull to refresh when you want the latest updates.

Timeline View

Shows a visual timeline with bookings as blocks on a calendar - basically the portal calendar but designed for mobile. Use this when you need to see exact times bookings start and end, spot gaps in the schedule, or get a visual overview of the day. You can drag and scroll through hours to see the full schedule.

Switching Between Views

At the top of the Schedule screen:

  1. Tap the view selector (three icons)
  2. Choose List or Timeline
  3. View switches instantly

Your choice is remembered next time you open the app.

Using List View

What You See

Bookings grouped by date:

  • Today section at top
  • Tomorrow section
  • Future dates below
  • Each booking shows:
    • Customer name
    • Job type (Quote Visit, Work Order, etc.)
    • Time range (e.g., 9:00 AM - 12:00 PM)
    • Staff assigned
    • Color-coded status

Navigating List View

Scroll down: See future bookings
Pull down: Refresh to load latest changes
Tap a booking: View full booking details
Swipe left (iOS): Quick actions (if available)

No Bookings?

If you see "No bookings scheduled":

  • Check your staff filter (you might be filtering yourself out)
  • Try another date range
  • Bookings might all be in the past or far future

Using Timeline View

What You See

A visual calendar showing:

  • Expandable calendar at top to pick dates
  • Timeline showing hours of the day (7 AM - 6 PM by default)
  • Booking blocks positioned at their scheduled times
  • Now indicator - red line showing current time
  • Color-coded by status (amber = quote, blue = work order, etc.)

Navigating Timeline View

Tap calendar: Jump to different dates
Scroll down: See later in the day
Pinch to zoom: Not available (fixed view)
Tap booking block: View full details
Auto-scroll: Timeline auto-scrolls to current time when opened

Timeline Hours

Timeline shows your business hours set in settings (default 7 AM - 6 PM). If you have bookings outside business hours, scroll up/down to see them.

Staff Filtering

Both views support staff filtering - only show bookings for specific team members.

How to Filter by Staff

  1. Tap "All Staff" button (top right area)
  2. Staff picker modal opens showing all team members
  3. Tap a staff member's name
  4. Only their bookings show
  5. Button now shows their name (e.g., "John's Bookings")

To clear filter:

  • Tap the staff button again
  • Select "All Staff" at the top of the list
  • All bookings appear again

Why Filter by Staff?

For field workers:

  • "What's on MY schedule today?"
  • See just your own work without distraction

For managers:

  • Check what John has scheduled
  • See if Sarah is available
  • Review individual workloads

For office staff:

  • Coordinate specific technician schedules
  • Plan routes for one person

Booking Details

Viewing a Booking

Tap any booking to see full details:

  • Customer name and address
  • Job type and status
  • Start and end times
  • Staff assigned
  • Booking type (Work Order, Quote Visit, Task, etc.)
  • Notes (if any)

From detail view you can:

  • Call customer (tap phone number)
  • Navigate (opens Maps with address)
  • Edit booking (if you have permission)
  • View linked job (tap to open job details)

Booking Colors

Bookings are color-coded by job status:

  • Amber/Yellow: Quote stage (Open:Quote)
  • Blue: Work Order (Open:Work)
  • Green: Completed
  • Gray: Task (internal, no customer)

Refreshing Data

Auto-Refresh

The app checks for new bookings automatically when:

  • You open the Schedule tab
  • You switch from another app back to Cooledge
  • Every few minutes while viewing (background sync)

Manual Refresh

In List View:

  • Pull down from the top
  • Spinner appears
  • Latest bookings load

In Timeline View:

  • Tap the refresh button (if available) or
  • Close and reopen the tab

Common Questions

Why don't I see any bookings? Check staff filter - you might have a filter active. Tap "All Staff" to see everyone's bookings.

Can I create bookings from mobile? Yes! Tap the + button (floating action button) and select "Create Booking".

Can I drag bookings to new times? Not on mobile. Use the portal web calendar for drag-and-drop. On mobile you can edit bookings to change times.

Do I need internet to see my schedule? Yes, the app loads bookings from the server. Without internet, you'll see the last loaded data (may be stale).

Tips for Mobile Schedule Use

For Field Workers

  • Use Timeline view in the morning to see your day visually
  • Switch to List view during the day for quick "what's next?" checks
  • Filter to just your bookings to avoid confusion
  • Use booking detail view to call customers and navigate

For Office/Dispatch

  • Use List view to see the week ahead
  • Check each staff member's filter individually
  • Pull to refresh often to see latest changes
  • Use Timeline view to spot scheduling gaps

For Managers

  • No staff filter = see everyone's workload at once
  • Look for scheduling conflicts (overlapping bookings)
  • Check if specific days are overloaded
  • Use colors to identify quote vs work bookings
