Finishing Visits
Complete job visits from the mobile app with options to invoice, create quotes, or put jobs on hold
Finishing Visits
What is the Finish Visit Modal?
When you stop a timer on a job in the mobile app, a Finish Visit modal appears with options for what to do next. The options you see depend on the type of job you're working on.
This is the main way field staff wrap up their on-site work — it stops the timer, records the time, and lets you take the right next action in one step.
Finish Visit for Work Orders
When you finish a visit on a Work Order job (blue badge, customer has accepted and work is approved), you'll see these options:
Complete and Invoice Now
What it does: Stops the timer, marks the job as complete, and creates an invoice ready for you to finalize and send.
When to use it: The work is 100% done and you want to bill the customer straight away. Great for single-visit jobs like repairs or service calls.
Complete and Invoice Later
What it does: Stops the timer, marks the job as complete, and creates a draft invoice that you can come back to later.
When to use it: The work is done but you need to finalize pricing back in the office, or you want to review the invoice before sending. The draft invoice will be waiting for you in the Portal.
Job Not Complete
What it does: Stops the timer without changing the job status. The job stays as an active Work Order.
When to use it: You finished today's portion of the work but there's more to do. Multi-day installs, waiting for a follow-up visit, or you ran out of time and need to come back.
Finish Visit for Quote Visits
When you finish a visit on a Quote Visit job (amber/yellow badge, still in the quoting stage), you'll see different options tailored to the quoting workflow:
Finish Visit and Create Quote
What it does: Stops the timer and opens a quote type selector. Choose the type of quote you want to create (Split System, Ducted, Kits & Items, etc.) and the quote editor opens with the customer, site, and job details pre-filled.
When to use it: You've assessed the site and you're ready to start building the quote — either on-site or back in the office. This is the most common action after a quote visit.
The quote is automatically linked to the job, so it appears on the job detail page with an "Unsent" badge until you send it.
Finish Visit and Leave Open
What it does: Stops the timer. The job stays in Quote Visit status with no other changes.
When to use it: You visited the site but aren't ready to create a quote yet. Maybe you need to research pricing, consult with a colleague, or wait for more information from the customer. You'll come back to create the quote later.
Finish Visit and Put on Hold
What it does: Stops the timer and opens the Put on Hold modal where you can select a hold reason and duration.
When to use it: The quote visit is done but work needs to pause — the customer needs to get building approval, you're waiting on engineering specs, or the customer asked you to hold off for a few weeks. See Putting Jobs on Hold for full details on holds.
Choosing the Right Option
Here's a quick decision guide:
| Situation | Job Type | Best Option |
|---|---|---|
| Work done, ready to bill | Work Order | Complete & Invoice Now |
| Work done, invoice later | Work Order | Complete & Invoice Later |
| More work to do, coming back | Work Order | Job Not Complete |
| Site assessed, ready to quote | Quote Visit | Finish Visit & Create Quote |
| Site assessed, need more info | Quote Visit | Finish Visit & Leave Open |
| Site assessed, need to wait | Quote Visit | Finish Visit & Put on Hold |
What Happens to the Timer
Regardless of which option you choose, the timer always stops and your timesheet entry is saved. The time is recorded against the job for tracking labour hours and job costing.
If you accidentally stop a timer too early, you can always add a manual timesheet entry later. See Mobile App Timesheets for details.
Common Questions
Can I change my mind after selecting an option? The timer stop is immediate, but subsequent actions (like creating a quote or marking complete) can be undone. You can always re-open the job and take a different action.
What if I don't see the quote visit options? The quote-specific options ("Finish Visit & Create Quote", etc.) only appear for jobs in Quote Visit status. If your job is a Work Order, you'll see the standard completion options instead.
Do I have to use the Finish Visit modal? You can also stop the timer directly from the Timesheets tab without going through the modal. But the modal is the fastest way to wrap up because it combines stopping the timer with the next action.
